The Good

Create all types of reports

Clarizen offers several different types of reports for tracking expenses, resource allocation, task progress, and more. You can also create reports exclusively for clients or executives that show them only the information that they need to see. If you aren’t happy with any of the available reports, you can always choose to create a custom report with the data that you choose. Once you are happy with your report, sharing it is easy as you can export it to Excel or email it to your team with just a few clicks.

Powerful task management tools

There are several ways that you can create tasks in Clarizen, including importing tasks, using a template, or creating them from scratch. You can choose the duration, user or users assigned to the task, and even set the estimated number of hours required. Clarizen also allows you to make tasks and subtasks dependent upon others, something which many organizations are sure to value. One feature that is sure to save some time is the recurring task function, which allows you to set up a schedule for tasks that repeat so that you don’t have to manually enter that information.

Easy to manage multiple projects at once

No matter how many projects you have, you will be able to benefit from Clarizen’s easy-to-use roadmap and cross-project dependencies. The roadmap allows you to view all of your projects at once, and to drag and drop tasks or milestones into place. If one project or task depends on another, you can link them together with a dependency. These will stay in place if you have to change the schedule around, so you can just move one project or task and the rest will adjust accordingly.

Add apps to make it your own

Rather than cluttering up your account with extra features you probably won’t use, Clarizen lets you add just the tools that you want by installing apps. These apps can be used to change email settings, user permissions, or to integrate with third-party programs, such as Salesforce or Google Docs. There are a few apps that you must pay for, but the majority of them are free. If you don’t see an app that has what you’re looking for, you can always design your own and send it to Clarizen, or you can suggest an app if you’re not up to the task of creating it yourself.

Google Chrome™ extension

Clarizen recently released a Google Chrome extension that enables you to quickly create and assign tasks from any web page in a Chrome browser. With the tool, you’ll be able to take screenshots, assign a task or case, include any related documents, set a due date, and more. This time-saving extension can simplify work done by marketing, IT, web designers, and any other employees that make updates and improvements to live websites.

Keep track of resource allocation

Clarizen’s resource load chart gives you a nice overview of how your team member’s time is being utilized. You can tell who is being overworked and who has some spare time to take on extra projects, and shift tasks around accordingly. This resource chart goes hand in hand with Clarizen’s excellent time tracking tools, which let each user enter how much time they spent on a particular task. You can then turn these timesheets into reports to further assist you in allocating your resources effectively.

Monitor your expenses and revenue

Clarizen makes it easy to stay on top of your finances by allowing you to first estimate the expected financial impact of a project, and then to track the actual costs and revenue. During your project, Clarizen informs you of the financial health of the project, and you can generate budget and expense reports at any time. Users can submit expense requests to their manager, and it can be approved from right within the system. With tools like these on your side, you will always know exactly where your money is going.

The Bad

A little expensive

Compared to several other comprehensive project management software out there, Clarizen has a higher-than-average per user cost. While that may be an issue for you if your budget is tight, it is important to remember that Clarizen is among the best project management software out there, and to get access to great resources like this, you often have to pay a little extra.

Can't customize your dashboard

Although you can add apps to customize your projects in Clarizen, your dashboard is going to have to stay the way it is. This is rather surprising since just about every project management software out there lets you layout your dashboard how you want. But before you get too disappointed, Clarizen is currently working on making dashboards customizable, so hopefully this won’t be an issue for much longer.

No way to view recent activity

Unlike most project management software, Clarizen does not have an activity stream where you can view the recent changes made by other members of your team. Though this probably isn’t a crucial feature to most, it can really help keep you informed about the progress of individual projects or tasks, and it would be nice to see Clarizen add this to its offerings.

Document management needs work

Clarizen only allows you to upload one file to the system at a time. Once the file is in Clarizen, you are able to view it and attach it to a task, but there is no way to comment directly on the file, as comments also get attached to tasks. Another valuable document management feature that is missing from Clarizen is version control, which allows different users to edit the document and saves each version separately. These omissions could be problematic if you have a large number of files related to your projects.
