The Good

Clean, streamlined user interface

Navigating within the Redbooth account is very straightforward because all the major links are located in a sidebar on the left side of the screen. From here, check out all of your current projects and drill down even further to look at the individual tasks. Reporting and collaborative tools are also just a click away. When you first log in, you see the dashboard listing the tasks that have been assigned to you and notifications on comments or projects you’re involved in. Selecting a task from the list on your dashboard takes you right to that task’s page. Here, you not only find the basic information about the task, such as the deadline, but also any files attached to it and comments by your team members. There’s no more flipping back and forth between your email inbox and project management software because all the relevant information pertaining to a task is available in one place.

Simple collaboration for increased efficiency

Redbooth offers some of the most advanced collaborative resources in the industry, going well beyond the basic discussion tools to offer features like built-in video conferencing. Not only is this a useful resource for connecting with clients, but it’s also valuable to companies with a number of remote workers. Discuss your tasks and projects in real time while sharing a screen. Group chat is another option for instant communication. Notes are documents created within Redbooth where multiple people are able to work and edit at the same time. All changes are saved in different versions and you can restore a past version. And, of course, there’s always the option to post a comment directly on a task if you have a question or comment. Tag people in the post and they will receive an email notification of your comment and reply right from their inbox.

Great deal for small teams

Redbooth’s Pro plan comes with unlimited storage space and projects and a price tag of just $5 per user per month. This means if your company has a relatively small number of employees, you really can’t find a better deal than Redbooth. Start with as many projects as you want and don’t worry about running out of storage space.

Quickly access and share files

Redbooth has made huge improvements in file management over its predecessor Teambox, including the addition of a centralized file location within the program. Organize files into folders and use the filter tool to quickly locate the one you need. There’s also the option to attach files directly to a task. They still appear in the central location but, by adding them to the task, your team members are able to easily collaborate and discuss the files. Redbooth also makes file uploading simpler by enabling you to upload multiple files at the same time, a feature that was missing from Teambox. If you keep your important business documents in the cloud, Redbooth’s integrations with Box, Dropbox, and other popular document-management services makes accessing these files from inside the project management software relatively simple. There’s still no way to comment directly on the files themselves, but Redbooth plans to add this feature in the near future.

Mobile tools perfect for busy teams

Redbooth carries their website’s clean interface and powerful tools over to their mobile apps, available for Android and iOS devices. Posting comments and updating tasks works the same as it does on the web and there’s a powerful search tool built in to make it easy to find the file, task, or conversation you’re looking for. Not every company may need mobile tools like this but, if your employees travel a lot for work, access to a mobile app is going to keep them connected to the office. There’s even an offline mode that enables you to keep working when you don’t have an Internet connection, and changes are automatically synced with your Redbooth account when you’re back online.

Manage your resource workload

Though technically a simple project-management software, Redbooth does have some basic resource-management tools, such as a workload chart. This lets administrators view all the tasks assigned to each member of their team and adjust workloads accordingly. The chart is broken down by due date, so the most urgent tasks, late tasks, and tasks due soon are listed separately. Reassigning a task or changing the deadline doesn’t require you to go into that project either. Clicking on the task takes you right to it and, once you’ve made your changes, head right back to the resource workload chart. This is a convenient way to track what all your employees are working on and to make sure they’re not being over- or underworked.

The Bad

No advanced task-management capabilities

With Redbooth, there is currently no way to make one task dependent on the completion of another nor is there any way to set up a recurring task schedule. Though they are far from the only company in the industry without these capabilities, many of the top project-management software programs offer this type of advanced task management for organizations with more complex project structures. If this is something you’re interested in, check out a company like AtTask. However, if you’re interested, keep in mind Redbooth has plans to add recurring tasks as an option and they’re also looking into adding dependencies and custom task fields.

Few report types

Redbooth’s reporting functionality makes it possible to track tasks, time, and users, but that’s about it. There’s no way to create reports to analyze your budget or reports for specific clients. Redbooth is also missing the option to design a custom report. However, depending on how your organization intends to use the project management software, this may not be an issue. If your primary focus is on assigning and managing tasks, reporting tools aren’t going to be as important.

Unable to customize workspaces

Unlike some other project management software, Redbooth doesn’t enable their customers to customize the dashboard or workspaces to their liking. Fortunately, Redbooth has a very simple interface with links to all the important pages in one location, which makes it easy to quickly access the information you’re looking for. However, it would be nice to see the company add some customization options for those who would like them.
